A plain-English summary of how we handle data. This is informational, not legal advice — confirm your own obligations with your adviser.
We act as your data processor under UK GDPR and use any data you give us for a single purpose — to build and run your dashboard. We don't sell it, share it with third parties, or use it for anything else.
Your data is held on UK-based infrastructure, built to the accuracy, access and complaints-process standards the Data (Use and Access) Act 2025 and UK GDPR require.
When you sign in, we keep your session in your browser so you stay signed in, and two small cookies remember your light or dark choice and that you have installed the app. We use no tracking or advertising cookies and no analytics. We record each sign-in (who, which company and when) in your company’s audit log, so your administrators can see who has accessed the account.
The Dash button on this website helps you find the right product. The tap-to-answer questions use no AI and set no cookies. If you type your own question, what you type, your tapped answers and the page you are on are sent to Anthropic, our only AI provider, which writes the reply from the text of our own public pages. Dash can’t see anything about you or any account, and what you type is not used to train models. Please don’t type passwords or personal details. We keep the first 300 characters of each typed question for 90 days to see what people ask, to improve the answers and to understand what people want from our products, with a one-way scrambled form of your connection address that we use for a day to stop spam. We count how many people open Dash and tap each answer, without knowing who you are. Your answers stay in your browser tab until you choose to leave your details at the end. If you do, we store your name, work email, company and phone if you gave them, your answers, the product we pointed you to, the page you were on and your tick that we may contact you about the enquiry. We email that to our support team, with your typed chat if you had one, and send a phone alert if you said you were looking now. We use it only to reply to your enquiry, keep the stored copy for 12 months, then delete it automatically (copies in our mailbox and sales records are kept only as long as we are dealing with your enquiry), and sooner if you ask.
Signed-in customers can chat with Dash inside IQ Hub and our apps. Dash uses artificial intelligence from Anthropic, our only AI provider (US-based, covered by a data processing agreement, and not allowed to use your chats to train models). What you type to Dash, and your company name, is sent to Anthropic to write each answer. Dash can't see or change the data in your dashboard. If you ask for a person, your chat, your email address and an AI-written summary are passed to our support team. We keep the first part of each question for 90 days so we can improve the answers and understand what people want from our products, and chats passed to support for 12 months after they close so we can follow up with you; then they are deleted automatically, and sooner if you ask. In a live chat with our support team you can attach screenshots (PNG, JPEG or WebP) and files (PDF, Word, Excel or CSV); only our support team can see them, and they are deleted after 90 days. Files with macros or scripts are refused. The AI that drafts reply suggestions for our support team (Anthropic, as above) also reads the screenshots and files you attach, so the team can see what you see. If you email us a document, our support team may paste the email and its attachments into the same drafting helper; nothing from that is stored by us. Please don't type passwords or personal details into Dash, or put them in a screenshot or file.
Signed-in customers can send us an idea from IQ Hub or from Ask Dash inside each app. We store what you write (up to 1,000 characters), the kind of idea and product you chose, your work email, your company name, the date and whether you ticked “you can contact me about this”. Your email and company are recorded by our database, not typed by you. You can send up to five a day. Nobody can read ideas back from the apps; only our team sees them, in a weekly round-up email sent to our support mailbox and our founder. We use them only to improve our products (our legitimate interests); we don't share them, use them for marketing or send them to any AI service. We delete each idea automatically after 12 months, and sooner if you ask. Please don't type passwords or personal details into the box.
When we release something worth knowing about, we email the owners and admins of companies that use the affected product, to tell them what is new. We use your work email and your company’s subscription to decide who gets it; nothing else about you is used, no AI service sees it, and it is not marketing for other products. We rely on our legitimate interests in keeping existing customers informed about the service they pay for. We send it through Resend, our email provider. Every email has a one-click unsubscribe link, and we then add your address to a list of people we do not email about updates (kept until you ask us to remove it). You still see the same updates inside IQ Hub. Service messages about your account, such as invoices, are separate.
When we show a “What's new” pop-up or card, we remember the date you last dismissed it, for that person and that place (IQ Hub or a product), so we don't show you the same news twice. That is all this feature records: it sets no cookies, uses no analytics, and the news itself contains no personal data. The marker is deleted when your account is deleted.
Intelligent Dashboards Ltd (company no. 17359146, ICO registration ZC255636) is the controller of the details described here. If you run or work for a business we think could use our software, we may email you at your work address, and follow up a small number of times if we hear nothing. We email only people at limited companies, LLPs and incorporated charities, never sole traders, partnerships or personal addresses, and we use only a work or role address that you or your business publish on your own website or in a public register such as Companies House. That is where we get your details; we do not buy lists. We keep your name, job title, work email, company, a note of what we sent and when, and anything you reply with. We rely on our legitimate interests in finding customers and partners.
We keep these records in HubSpot, our CRM, and send email through our email provider; both act only on our instructions. We use Anthropic, our only AI provider, to help draft emails from the business details we hold about you; no decision about you is made by AI alone. Your details are not sold or passed to anyone else. HubSpot and Anthropic are US-based and process data under data processing agreements.
We keep your details for up to 12 months after our last email, or after our last conversation with you if you reply, and sooner if you ask. Copies in our mailbox and CRM follow the same period. If you object or unsubscribe, we keep only your email address on a list of people we do not contact, for as long as needed to honour that.
You can object at any time, and we will stop: reply “no thanks” to any email, or write to support@intelligentdashboards.co.uk. You can also ask to see, correct or delete what we hold. You can complain to the Information Commissioner’s Office (ico.org.uk).
You own your data and your dashboard. We'll hand it back or securely delete it whenever you ask.
This site doesn't use tracking cookies or analytics by default. Contact forms simply open your own email client — nothing is stored on our servers unless you email us.
Questions about your data, or want it returned or deleted? Email support@intelligentdashboards.co.uk and we'll action it promptly.
